The Opportunity
The Industry Engagement Project Coordinator plays a pivotal role in supporting the Industry Engagement Office at SAIT. Reporting to the Director, Industry Engagement, this position is integral to driving the success of strategic projects, fostering collaborative relationships, and enhancing operational efficiency.
The Project Coordinator will establish and manage project plans, leveraging tools and frameworks to ensure timely completion of deliverables. Responsibilities include organizing project documentation, facilitating meetings, and coordinating team activities. The role requires building and maintaining strong relationships with internal partners and external stakeholders, ensuring alignment across various initiatives.
A key focus of this role is developing a robust measurement and reporting framework to evaluate the Industry Engagement Office's progress against strategic goals. This includes establishing performance metrics, tracking key performance indicators (KPIs), and analyzing data to uncover trends and actionable insights. By providing comprehensive reporting and identifying areas for continuous improvement, the Project Coordinator will contribute directly to the office's long-term success and operational excellence.
The role involves active participation in institutional technology projects on behalf of the Industry Engagement Office. The successful candidate will gather and document business requirements, coordinate project activities, and provide progress reports to leadership.
The Role
Project Management
Establish a plan for Industry Engagement projects and activities.
Leverage project management tools and frameworks to keep the Industry Engagement Office team on track to meet established timelines and deliverables.
Ensure project documentation is organized, maintained, and retrievable.
Facilitate meetings and discussions to advance project activities.
Data Measurement, Reporting and Analysis
Develop a measurement and reporting framework for the Industry Engagement Office to track progress and assess performance against the Industry Engagement Plan as well as for day-to-day operations.
Support the establishment of performance measures and KPIs for the Industry Engagement Office.
Analyze data for trends and actionable insights for continuous improvement.
Business Process and Workflow Mapping/Design
Document new and current state business processes and workflows in the Industry Engagement Office. This includes processes and workflows for hand-offs across campus.
Identify areas of improvement and efficiency.
Document business requirements to achieve desired future state.
Project Participation and Coordination
Gather business requirements for the Industry Engagement Office's participation in the CRM 3.0 project.
Represent the Industry Engagement Office in institutional technology projects, including in project-related meetings and discussions.
Coordinate technology projects initiated by the Industry Engagement Office with cross-campus stakeholders..
Relationship Management and Team Participation
Establish and maintain collaborative relationships with internal delivery partners.
Establish and maintain effective relationships with external project stakeholders.
Data Inputs and Tracking
Establish a tracking system for incoming inquiries to the Industry Engagement Office.
Enter industry-related data, such as contact information, engagement activities, and other information into respective CRM systems and databases.
Qualifications, Certifications or Designations
A Bachelor's degree in business administration, business analytics, information systems, or a related field.
Minimum three to five years of experience providing project management and business analysis expertise to multi-stakeholder projects. This may include IT projects (solution design and implementation), business process improvement projects, or business planning projects
Certification in project management practices (i.e. Project Management Professional, Agile, etc.) and/or business analysis practices is an asset.
Other combinations of experience and certifications may be considered.
Skills Required
Proven experience in project management, coordination, and measurement.
Strong business acumen, including industry and domain specific knowledge.
Experience determining the explicit and implicit needs and requirements of various stakeholders.
Experience creating documentation such as business requirements, business processes, and executive summaries.
Ability to quickly learn objectives, structures, operations, and policies of a business area.
Ability to navigate the formal and informal hierarchies of the institution and influence key stakeholders to achieve project success.
Excellent communication skills.
