Detailed Overview
Under general supervision, performs a variety of clerical duties related to the operation of the unit. This includes duties such as receiving and registering patients on arrival to the unit, receiving and directing visitors, acting as a communication link within the unit, communicating with other departments and hospitals, booking follow-up patient appointments within the unit, transcribing and processing physicians' orders, arranging patient tests and telephone answering. Assembles and maintains patient charts (automated and manual) and performs keyboarding and data entry duties.
Responsibilities
- Receives patients upon arrival to the area and obtains/confirms information required to register the patient (e.g. personal and demographic information, responsibility for payment). Registers patient in the computerized admission/discharge/transfer system and completes related registration documentation.
- Prepares and labels patient charts. Prepares identity bands for and applies bands to patients. Obtains appropriate signatures.
- Accesses HealthNet as required to determine the patient's healthcare number (PHN) or assigns a new PHN if required. Searches other databases as required.
- Receives and records patient valuables for safekeeping.
- Provides information to patients re payment of charges for non-resident and self-pay charges and medical/surgical supplies and directs patients to appropriate location to make payment.
- Provides patient information in accordance with department standards; provides information to and directions for patients and visitors.
- Acts as a communication link and supports the flow of patients and information within the unit.
- Collaborates with other departments such as the central registration and booking department, emergency department and other care areas to exchange information related to unit patient appointments.
- Coordinates the scheduling of follow-up appointments/tests for unit patients in other departments by receiving appointment/test requests and making appointments.
- Schedules follow-up patient appointments for patients by receiving appointment requests, making appointments, and assigning to the appropriate time, date and location. Utilizes the Fraser Health electronic scheduling program to input and track patient appointments. Contacts appropriate areas such as doctor's offices to confirm appointments.
- Prioritizes, processes, coordinates and transcribes physicians' orders and performs necessary follow up action.
- Assembles and maintains patient charts, inputs patient data into the computer and processes physicians' orders by transcribing information into relevant systems such as MARS, Kardex, charts or the FH electronic health record. Attaches documents to charts such as laboratory and special examination reports. Dismantles charts for Health Records after patient appointments and/or discharge from active treatment.
- Answers telephone calls and provides information of a general nature or connects the caller to departments, physicians, or staff members. Opens and distributes mail and faxes to appropriate parties.
- Performs related clerical duties such as keyboarding, data entry, filing, compiling, preparing and maintaining activity statistics, producing reports, delivering and picking up items, ordering supplies through stores. Completes requisitions for equipment repair and/or maintenance as requested.
- Maintains timekeeping records for regular and relief staff and submits/enters to payroll systems as required. Receives and processes requests such as vacation, leave of absence and terminations by preparing necessary documentation and forwarding to appropriate authority for approval.
- Accepts calls from nursing staff regarding illnesses and absence from work and communicates information received to nursing units and appropriate personnel; calls in relief nursing staff according to predetermined guidelines and refers problems to Patient Care Coordinator and/or Manager.
- Maintains records on relief staff such as: names, addresses, telephone numbers, availability for work, suitability for work area and hours worked.
- Performs other related duties as assigned.
Qualifications
Education and Experience
Grade 12, medical terminology and graduation from a recognized Nursing Unit Clerk program plus one year's recent, related experience or an equivalent combination of education, training and experience.
