Job Description:

Position Purpose summary:

The Community Engagement/Volunteer Coordinator supports the work of the management team, offering expertise and strategic oversight of digital/social media marketing and establishing and implementing a strong volunteer program for the Ministry Unit.

RESPONSIBILITIES and Accountabilities:

Administration: 20%

  • Greet and escort visitors; file documents electronically or manually; photocopies and distributes materials as requested; resolves routine inquiries; processes incoming/outgoing mail (occurs weekly and as vacation coverage).
  • Attends meetings, prepares agendas and takes/circulates minutes.
  • Maintains databases or spreadsheets as required (e.g. Volunteer Hours). Completes Christmas duties such as managing all campaign supplies, kettle counting, donations, arranging and scheduling volunteers
  • Will serve on in-house Committees as needed e.g. Salvation Army Community Council
  • Liaises with and supports programs with agenda items, scheduling, reports, and other information as needed.
  • Helps to plan and assist with third-party events benefiting The Salvation Army (i.e., Fundraisers).

Volunteers: 40%

  • Develops or assists with the development of policies and procedures for the program as approved by senior management.
  • Participates in the development of the departmental budget, operates within the approved budget for financial control and ensures optimum utilization of resources.
  • Works with educational or other institutions or organizations and volunteer bureaus to promote volunteerism within the facility and attract applicants.
  • Recruits, orientates, trains, evaluates, recognizes, and assigns work in concert with collective agreements and Salvation Army territorial standards; submits incident reports (volunteers, student placements)
  • Matches volunteer's skills with work/activity needed within collective agreements and power of care consent; prepares task lists for volunteers for guidance
  • Engages with community though social media, newsletters, emails, keeping them privy to our work, events, and needs. Growing our community engagement.
  • Connects with community to bring awareness of our organization, to increase donations
  • Meets with business and community groups and expands and develops these relationships
  • Maintains statistical records for ministry of health and Salvation Army benchmarking and Salvation Army management information system.
  • Writing thank you letters and emails to donors.
  • Planning events for volunteers and donors
  • Develops, reviews, and revises volunteer handbook.
  • Assists in leading special events and outings.
  • Leads our Christmas kettle campaign including arranging and scheduling volunteers
  • Works with management team members to determine volunteer needs for Vernon's integrated mission and develop recruitment tools and processes.
  • Promotes the Vernon Ministries volunteer program; reaches out to and makes presentations to businesses, community groups, service clubs, schools, and churches.
  • Develops volunteer "ask" forms for use by program supervisors to support appropriate recruitment/deployment of volunteers. Assesses effectiveness and adjusts/updates as needed.
  • Supports the development of current position descriptions for all Volunteer positions. Works with Supervisors to update as needed.
  • Regularly engages with active volunteers in support of volunteer retention.
  • Introduces volunteers to all program leaders to facilitate integrated mission.
  • Conducts routine surveys with volunteers for the purpose of improving volunteer programs.
  • Communicates regularly with all volunteers (year-round and seasonal) about volunteer needs and potential for increased engagement.
  • Trouble-shoots complaints/issues expressed by volunteers to ensure best practices.
  • Pursues relevant community-based volunteer recruitment opportunities (school fairs, volunteer fairs, seniors' fairs, etc.) in support of our volunteer program.
  • Recruits, and on-boards volunteers. Ensures a thorough hand-over to program Supervisors.
  • Oversees the development, streamlining and ongoing maintenance of the ministry unit's confidential volunteer database. Maintains monthly volunteer service statistics. Provides management team with reports, as requested.
  • Plans and coordinates appropriate volunteer recognition and appreciation events.
  • Assists in the development of volunteer related policy and procedures and volunteer handbook.
  • Assists with all Emergency Disaster Services operations
  • Performs other duties as assigned

Communications: 40%

  • Assists with social media related tasks
  • Draft and submit press releases
  • Working with local team to strategize, schedule, and produce social media plans to highlight ministries, recruit volunteers and monetary and gift-in-kind donations.
  • Works with team to manage WordPress website with updates, maintenance, SEO optimization and relevant local content production with the support of Territorial public relations stories, assets, and events.
  • Designs and produces collateral materials including, but not limited to, advertising, brochures, newsletters, info graphics, annual reports, impact reports, online promotions, etc.
  • Produces email newsletters featuring local programs, staff, volunteers, and The Salvation Army globally.
  • In collaboration with management team members, will implement web-based donor-relations strategies and communications to ensure continued donations through community partners.
  • Provides on-site support for media relations events, photo shoots and video productions.
  • Produces various written materials such as posters, brochures, press releases, proposals, thank you letters, etc.
  • Performs other job-related duties as assigned.

NOTE: Not all incumbents perform all of the duties described above but perform a similar range of duties.

CRITICAL RELATIONSHIP MANAGEMENT

Governance Boards and Councils: N/A

Internal: Management Team, SA Vernon Community Council, THQ PR, THQ Volunteer Coordinator, Community Engagement/Volunteer Coordinators at other BC Ministry Units, Vernon volunteers, EDS volunteers, various internal Planning Committees

External: External partners and donors

MANAGERIAL RESPONSIBILITY:

  • Reports directly to the Vernon Community Ministries Director
  • Recruits volunteers for the Ministry Unit and assists in providing general orientation.
  • May supervise some seasonal volunteers or employees supporting community engagement/public relations initiatives.

WORKING CONDITIONS:

  • Serves in an office environment within a busy ministry. The location of work may create a possibility of experiencing the following disagreeable conditions:
    • angry/abusive people and verbal abuse,
    • minor risk of harm, injury, illness due to physical attacks from others and/or exposure to infectious diseases.
  • Part-time with benefits, Monday-Friday, 9:00 am to 3:30 pm, (1/2 hour unpaid break) 30 hours per week.
  • May travel up to 10% of the time.

HEALTH & SAFETY:

  • Required to complete general orientation, including safety in the workplace training and annual review.
  • Required to complete WHMIS training annually.

education and experience Qualifications:

  • The successful candidate must have completed one to two years' post-secondary education in a related field
  • Certificate in Volunteer Administration

Special Licenses, Diplomas, Certifications or Requirements:

  • Must hold or obtain a recent Criminal Records Check with Vulnerable Sector Check, satisfactory to TSA.
  • Must receive clearance from TSA Abuse Registry Check.
  • Required to complete WHMIS training annually.
  • Required to complete Praesidum Academy training modules relevant to position.

Experience and Skilled Knowledge Requirements

  • Digital Marketing expertise with strategies for marketing and promotions in non-profits.
  • Advertising, Sales and image building/branding
  • Characteristics: energetic, takes initiative, team player, organized and productive.
  • Volunteer recruitment and management experience
  • Creative and flexible with the ability to adapt based on team, program, and service needs.
  • Three to Five years of related experience, including experience coordinating multiple programs

Skills and Capabilities (examples provided below):

  • Knowledge and skill in social media platforms and management (Facebook, Instagram, Google Business, Google Ads, Later)
  • Basic Knowledge in website management (WordPress and plugins)
  • Knowledge and skill in Microsoft Office (including Excel, Word, and PowerPoint, and Outlook)
  • Knowledge of digital production and graphic design (Adobe Creative Cloud: InDesign, Photoshop, Flash, and Illustrator).
  • Knowledge of Volunteer Management database system an asset
  • Has worked with community engagement including event planning, social media etc.

Compensation:

The target hiring range for this position is $21.62 to $27.02 with a maximum of $32.43.

Placement in the salary range will be based on factors such as market conditions, internal equity, and candidate experience, skills, and qualifications relevant to the role.
