Position Purpose summary:

The Administrative CFS Associate (Worker) provides a variety of administrative duties and assists individuals and families who are seeking aid and assistance from, or have been referred to, The Salvation Army Fenelon Falls. This position also provides support to the Food Bank Program and other programs provided by Community and Family Services.

KEY RESPONSIBILITIES:

ACCOUNTABILITIES:

Administration

  • Perform general office duties such as answering phone calls and returning messages.
  • First point of contact, greet and assist with visitors' entry into the building.
  • Liaise with CFS Coordinator, Business Administrator, Corps Officers, and the community as required.
  • Book Food Bank appointments for clients to shop for their groceries and coordinate deliveries for clients who cannot physically access the store.
  • Create and file documents electronically or manually; photocopies and distributes materials as requested; sends and receives fax/email material as requested; resolves routine inquiries.
  • Draft and type correspondence; sorts and prioritizes assignments within general guidelines.
  • Build and maintain databases (e.g., employee/volunteer information, contact lists, inventory, training records.
  • Maintain written records, logs of activities, including activity reports and statistical information.
  • Periodically review program assistance guidelines with supervisor.
  • Maintain accurate records of client information in Link2Feed and on The Salvation Army's computer system while maintaining confidentiality.
  • Assist with the preparation of reports, grant applications and fundraising plans.
  • Ensure that all aspects of work are completed in accordance with the principles, standards and policies and procedures of The Salvation Army.

Client Services and Programs

  • Conduct initial intake application and screen clients seeking assistance, including food, clothing, household needs, referrals etc.
  • Oversee the activities of the CFS food pantry: organize, and ensure that the pantry is tidy and clean, ensure that adequate stock levels are maintained, sort and process donated, and purchase goods.Oversee and manage food bank stock by ordering food and/or supplies (Cleaning, Janitorial and Packaging) from outside supplies. (e.g., Railside, KLFS, Community Gardens).
  • Assist with the organization and implementation of seasonal programs provided by the Community and Family services, as required (e.g., Christmas Kettles, Christmas Hampers, Overnight Summer Camp Programs).

Supervision

  • May assist in the development of strategies and recommendations for volunteer development.
  • In consultation with the supervisor may organize meetings with volunteers.

Health and Safety

  • Ensure that the Community & Family Services and Food Bank area is tidy in relation to appearance, condition and safety as recommended by Public Health etc.
  • Ensure the safety and comfort of the ministry unit by maintaining cleanliness and food safety etc.
  • Work in compliance with OH&S Act and Regulations and abide by The Salvation Army's health and safety policies and procedures.

Perform other position-related duties as required.

WORKING CONDITIONS:

  • This is a permanent part-time position based 15 hours per week.
  • Flexibility in scheduling is required, some weekend and evening work may be required (Seasonal, Special Events).
  • The Supervisor will set the hours of work and work schedule.
  • Working environment is typically in the office in generally agreeable conditions.
  • This job required, reaching, bending, and stooping frequently, working in a sitting and standing position for periods of time.
  • Ability to lift/move 20-29 pounds.

QUALIFICATIONS AND EDUCATION REQUIREMENTS:

  • Completion of High School
  • Business Administration diploma would be an asset.
  • Valid Safe Food Handlers Certification or willingness to obtain.
  • Non-Violent Crisis Intervention Certification and First Aid/CPR preferred.
  • Alternative combinations of education and experience may be considered.

EXPERIENCE AND KNOWLEDGE:

  • Minimum of three (3) months of prior related experience working in community-based programs

  • Ability to prioritize, organize and manage multiple tasks; the ability to complete assignments and meet deadlines with minimal supervision.

  • Demonstrate professional ethics, fairness, and confidentiality.

  • Ability to undergo applicable screening and background checks successfully that are satisfactory to The Salvation Army, in its sole discretion (i.e., The Salvation Army Abuse Registry) and provide an original copy of a Background check search.
  • Ability and willingness to develop an understanding and support for the mission and purpose of The Salvation Army in Canada and its implications as related to position responsibilities.
