The team at Bayview Village Wellness Centre located in Toronto, Ontario is looking for a passionate, hard-working Administrative Assistant on a part-time basis.

We have been providing Toronto and surrounding area with access to expert professional health services, including Chiropractic Health, Physiotherapy, Registered Massage, Naturopathic Medicine and Custom Orthotics for three decades. We are conveniently located at the Bayview Village Shopping Center at Bayview/Sheppard subway station.

RESPONSABILITIES:

  • Greet and assist patients as they arrive; ensure a lasting positive impression for them
  • Responsible for optimizing the appointment schedule by ensuring the day is full, with limited gaps
  • Effectively manage recall system and accurately maintain patient database
  • Manage patient calls and inquiries about appointments, confirmations, amendments and cancellations
  • Provide office guests with a hospitable experience
  • Supervise the maintenance of office areas, equipment, and facilities
  • Positive attitude, a passion to succeed, surpasses expectation, flexible and able to adapt to change
  • Client service skills, having the ability to communicate clearly and professionally
  • Exceptional interpersonal skills and verbal/written communication skills
  • Attention to detail is critical
  • Well organized and the ability to prioritize work

SCHEDULE:

  • Monday: 2 pm -7:45 pm
  • Tuesday: 2 pm - 7:45 pm
  • Friday: 2 pm - 7:45 pm.
  • Weekends, Tuesdays and Thursdays if coverage needed

WHAT WE ARE LOOKING FOR:
  • 1-2 years of experience is required as an Administrative Assistant
  • Strong background in reception and phone management is required
  • 1-2 years of previous experience in a health care clinic would be highly preferred
  • Collage Diploma is Preferred
  • Experience with management software such as Jane is considered an asset
  • Knowledge and familiarity with chiropractic and physical therapies is an asset
  • Proficiency with Ms. Office is required
