The Community and Family Services Program Coordinator will oversee, manage, and give leadership to various programs related to community and client support including the Community Garden at Oshawa Salvation Army Church and assist in the Christmas Kettle Campaign in accordance with Salvation Army mission, values, and standards

KEY RESPONSIBILITIES:

Accountabilities:

General

  • Promote research and develop a strategy of ongoing programming relating to the needs of the community and goals of participants
  • Maintain and update list of community resources
  • Assess community needs and review client feedback in order to determine potential alternate programing and develop a strategy for the implementation of such programs.
  • Oversee content updates and revisions to program materials to maintain professional standards
  • Ensure compliance with policies and procedures as it relates to external funders
  • Complete annual program reviews
  • Coordinate and lead program review meetings involving program staff
  • Maintain program stats, feedback surveys, exit surveys and/or any material related to program evaluation
  • Maintain & update Standards of Excellence program.
  • Participate in completion of Standards of Excellence Reviews.

Perform other duties as required.

Program

  • Coordinate/organize/oversee/develop annual/seasonal donation and fund-raising efforts such as Christmas Kettle Campaign, in support of the work of the Community and Family Services Ministry.
  • Assist with the activities and operations of the Christmas Kettle campaign including but not limited to participating in recruitment, orientation, performance management and the scheduling of staff and/or volunteers and respond to emergency absences.
  • Responsible for making sure any concerns with maintenance and general cleanliness of all facilities are forwarded to the Corps Officer or designate.
  • Network with Salvation Army, government and community social services providers to coordinate resources for the benefit of clients and programs.
  • Develop and maintain a good understanding of services provided by external agencies
  • Other duties as assigned for coverage (i.e. Food Bank support)
  • Maintain program stats (monthly & annually) and annual reports
  • Provide stats on the counselling program
  • Annual stats for United Way
  • Annual report for United Way
  • Annual report for CFS Annual Meeting
  • Participate in Team Meetings
  • Collaborate with Stop Shop Theft facilitator and manage stats
  • Update and maintain P&P Manual
  • Manage & document refusal of service data for CFS office
  • Coordinate Community Garden program and facilitate registrations and maintenance of Garden
  • Coordinate Emergency Disaster Services (E.D.S) program and collaborate with Director.
  • Maintain logs and upkeep of E.D.S vehicle.
  • Coordinate Summer Camp registration
  • Assist in Foodbank duties as required

Health and Safety

  • Establish and maintain work standards for Community and Family Services
  • Health and Safety Representative
  • Responsible to maintain Health and Safety Records, work in compliance with the Ontario Health & Safety Act Regulations and abide by the Salvation army's health and safety policies and procedures
  • Responsible to report any serious health and safety infractions, hazards, maintenance problems, equipment or supply needs in accordance with policies to the Director
  • Participate in ongoing Health and Safety Training

Administration and Finance

  • Maintain accurate records of client information on The Salvation Army's computer system while maintaining confidentiality and providing statistical reports.
  • Maintain accurate written records, logs of activities, including activity reports and statistical information.
  • May prepare and submit grant/funding applications; complete timely, accurate reports as required.
  • Receive, record, secure monetary and non-monetary donations; ensure information is forwarded to Director for the issuing of donation receipts for income tax purposes.
  • Provide input in the development and implementation of policies and procedures for Community and Family Services programs.
  • Oversee counselling client files - storage, archive, and shredding with Counselling coordinator
  • Receive and process fees and payments from program participants and clients using Moneris for credit card payment
  • Other duties as assigned for coverage (i.e. Food Bank support)

WORKING CONDITIONS:

  • This is a permanent full-time position based on 25 hours per week January-September and 40 hours per week in October to December)
  • Schedule may vary according to requirements of responsibilities - some weekend and evening work may be required; flexibility is required as it relates to hours of work.
  • Ability to repeatedly lift 40 pounds.
  • Working environment is typically in the office in generally agreeable conditions.
  • This job requires reaching, bending and stooping frequently, working in a standing position for periods of time.
  • Dealing with difficult people and verbal abuse.
  • Travel is required and associated with this position.

QUALIFICATIONS AND EDUCATION REQUIREMENTS:

EDUCATION, QUALIFICATIONS AND CERTIFICATIONS:

  • Completed Degree or diploma, preferable in Human (Social) Services field or equivalent.

EXPERIENCE AND KNOWLEDGE:

  • Minimum of two (2) years of prior related experience, including, experience in a specialized social services program.
  • Supervisory and the ability to lead, coach and motivate.
  • Experience dealing with office equipment and tools.
  • Knowledge of community-based resources and experience networking with government and social service agencies.
  • Valid Ontario Class "G" Driver's License, personal vehicle required and insurance, current copy of driver's abstract for review and verification that is satisfactory to The Salvation Army, in its sole discretion, is required.

  • Lead by example, by demonstrating a positive attitude and a strong work ethic.
  • Proficient in working in a computerized environment must have strong skills using Microsoft Office Suite.
  • Ability to organize and prioritize multiple tasks in a fast-paced environment.
  • Ability and willingness to provide a valid Safe Food Handlers Certification.
  • Ability to undergo applicable screening and background checks successfully that are satisfactory to The Salvation Army, in its sole discretion (i.e., The Salvation Army Abuse Registry) and provide an original copy of a Background Check with vulnerable sector screening.
  • Ability and willingness to develop an understanding and support for the mission and purpose of The Salvation Army in Canada and its implications as related to position responsibilities
