About us:

The Dalla Lana School of Public Health is a Faculty of the University of Toronto that originated as one of the Schools of Hygiene begun by the Rockefeller Foundation in 1927. The School, which played a critical role in the COVID-19 pandemic response, went through a dramatic renaissance after the 2003 SARS crisis and it is now the largest public health school in Canada, with more than 850 faculty, 1,000 students, and research and training partnerships with institutions throughout Toronto and the world. Your opportunity:

As the Journalism Administrative Assistant, you will support a variety of administrative tasks for the Fellowship in Journalism and Health Impact. This includes coordinating tasks for projects, scheduling appointments, tracking enrolment, and coordinating course schedules. You will also contribute to content development, including for websites, brochures, and newsletters. Together, with your strong administrative, organizational, and communication skills, you will contribute to the ongoing successes of the Fellowship in Journalism and Health Impact.

Your responsibilities will include:

  • Coordinating tasks for projects and other strategic initiatives with stakeholders
  • Scheduling appointments and resolving scheduling conflicts; Booking rooms and arranging appropriate accommodations
  • Tracking and monitoring enrolments and informing management of enrolment numbers; checking completeness of applications
  • Writing routine documents and correspondence; maintaining information on websites and disseminating information via social media.
  • Coordinating course schedules and preparing contracts using templates
  • Researching and identifying opportunities to promote programs and initiatives, such as coordinating virtual open houses.
  • Providing detailed information and demonstrating the use of technology; Handling sensitive and/or confidential information

Essential Qualifications:

  • College Diploma (2 years) or acceptable combination of equivalent experience.
  • Minimum two years of relevant experience.
  • Demonstrated experience coordinating project tasks and schedules for senior staff
  • Demonstrated proficiency with maintaining websites and disseminating information on social media
  • Experience coordinating course schedules
  • Strong experience identifying opportunities to promote programs and initiatives
  • Strong communication (written and verbal), and interpersonal skills
  • Excellent organizational skills, time management and problem-solving skills with the ability to meet conflicting priorities and balance multiple projects
  • Strong commitment to accuracy and attention to detail
  • Strong commitment to confidentiality and adherence to relevant policies andprocedures.
