Part Time Portfolio Scheduler (Monday to Friday from 0800-1600 hours)

Reports to: Director of Operations, GTA

Purpose of Position

The position is responsible for ensuring all permanent, ad hoc or special requests for manpower coverages are satisfied with the proper selection of personnel and criteria established by the company.

Work Environment

The incumbent will be required to work in a fast-paced environment, with varying levels of stress depending on activity levels in the Operations Centre. The position requires the incumbent to work at a desk and computer potentially for extended periods of time.

The incumbent is required to maintain a high level of professionalism and deportment while working.

Structure and Relationship

This position reports to the Director of Operations, GTA. Within the branch this position will have regular interaction with Account Managers, Portfolio Directors and other positions within the Operations Centre (National Service Desk and Alarms, Scheduling and Intake Desk Personnel).

It is expected that the Portfolio Scheduler understands and maintains confidentiality as it pertains to the business and company related matters.

Required Skills:

  • Minimum of Grade 12 education with 1 - 2 years work experience, with Microsoft Office and Scheduling software knowledge. Must have excellent customer service skills.
  • The incumbent must have excellent interpersonal, organizing and planning skills, knowledge of Windows operating system, and a thorough understanding of the GTA and GardaWorld accounts. The individual must be flexible and able to work overtime upon short notice.

Task Related Objectives

  • Create schedules in scheduling software.
  • Maintain all schedules within portfolio of accounts.
  • Fill all open shifts with the proper classification of guard.
  • Responsible for confirming and approving billing and payroll for set portfolio of accounts.
  • Investigate and resolve reported pay discrepancies.
  • Maintenance of staffing requirements and extra coverage.
  • Minimizing OT, trscaining cost and show pay costs.
  • Complies with scheduling instructions within procedures.
  • Administers coverage change orders.

  • The incumbent will review and participate in annual training on the following areas:
    • Emergency Response Manual/Business Continuity Plan (ERM/BCP)
    • Business (Quality) Management System (BMS)
    • Satellite Branch Training
    • Quality Training
    • Occupational Health and Safety Training
    • WHMIS Training.
